AI for your veterinary practice using Vetera: more time for animals and owners, less admin. We build AI software for veterinary practices using Vetera and connect it to your inbox. Consulting, training for your team and ongoing operation are part of it.
After an operation, many owners have questions about their invoice, and they arrive by email or over the phone. Our software finds the owner, the animal and the invoice in Vetera, explains each item in one sentence and compares the total with the estimate. Your team checks the reply and sends it. Owner and treatment data stays under your control, on a server in your practice if you prefer.

A question about the invoice after dental treatment
-
01
The question comes in
After her cat’s dental treatment, an owner writes that the invoice is €180 more than agreed. What are the anaesthetic, X-rays and extraction for?
-
02
The software prepares it
It finds the owner, the cat and the invoice in Vetera, explains each item in one sentence and sets the invoice beside the estimate. It takes the reason for the difference, two extra teeth extracted, from the treatment report.
-
03
Your team sends it
The practice manager checks the reply and sends it by email from Vetera. The owner understands her invoice without having to call.
What the software takes over in your practice
Answer invoice questions
The software explains items in plain language, compares them with the estimate and gives the reason for any difference. Your team approves every reply.
Match callback requests to the right animal
Messages from the answerphone and the inbox become a task on the right animal, with the concern and a good time to call back.
File results and reports
Whatever arrives as a PDF by email, such as a report from a specialist clinic, the software matches to the right animal and files in Vetera.
Connected to Vetera
According to the vendor, Vetera offers appointment scheduling, connections to in-house and external labs, accounting and invoicing, and sending emails and text messages straight from the software. Through a connection to Petleo, a phone assistant takes calls when the practice is unavailable. Your team keeps using these functions. Our software takes over the replies that today need someone to lay the invoice, the treatment and the estimate side by side.

Owner and treatment data stays where you decide.
An invoice shows who had which animal treated, and when. You decide where our software runs, and we set it up exactly that way.
- Confidentiality in the contract: we and everyone involved commit in writing to professional secrecy. This meets the requirements of Section 203 of the German Criminal Code (StGB).
- A data processing agreement under the GDPR, signed before the software sees real data.
- Your data is never used to train AI models.
- Every access is logged. You see who opened what, and when.
Working safely with AI: training for invoice questions
Your team practises on an email as it arrives after a treatment: what does the software prepare, what does the AI see of it, and what does the vet decide herself? Use the switch to see how owner data stays protected.
“Hello, the invoice for Luna’s dental treatment is €180 more than we agreed. This is Person 5267Julia Neumann from Address 8Ahornweg 7. Also, since the treatment Luna has barely been eating and is drooling a lot.”
- Your server inserts placeholders
- Sent encrypted
- Cloud AI processes it
- Your server puts the names back
Only your server knows which placeholder belongs to which person.
- Message arrives
- The AI on your server works with the full message
Nothing leaves your practice.
Explain the difference
Set the invoice beside the estimate and take the reason from the treatment report before the reply goes out.
Protect owner data
Recognise which details the AI only sees as placeholders, then match the owner safely in Vetera.
Pass on the poor appetite
Luna barely eating is more urgent than the invoice. The veterinary nurse calls back today and talks to the vet.
Questions about AI with Vetera
Can the software work with the data from Vetera?
Vetera lists interfaces that can be activated free of charge. Where a suitable one is available for your installation, the software reads the invoice and treatment there and creates replies and tasks directly on the animal. Otherwise your team moves them across from a work list with one click. We check which route suits you in the AI audit.
Can we use AI with owner and treatment data?
Yes. Section 203 of the German Criminal Code (StGB) names vets explicitly, and since 2017 it has allowed you to share confidential information with service providers, as far as their work requires it and provided they are bound to confidentiality. Owners’ names, addresses and phone numbers are also covered by the GDPR. We set out both in the contract, together with the data processing agreement. If the software and the AI model run on a server in your practice, the data stays on your premises from start to finish.
Does the software write to owners itself?
Your team approves every reply. It goes out through the channel you already use, for example by email straight from Vetera. That way the reply stays in the owner’s communication history.
What does AI cost for a practice using Vetera?
The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.
How often do owners ask you about their invoice?
In the free initial call, tell us which questions and messages your team answers by hand. We will show you what the software takes over, what it costs and how it works with Vetera.
