Give volunteers more time for the association. AI for membership work, activities and committee administration.
Membership lists, fees, registrations and bookings often get done after work, in spreadsheets only one person fully understands. We help you find the work worth simplifying and use AI where reading or preparing information saves time after checking.
Start with the task that takes another evening
Volunteers join to organise activities and support members. Re-entering applications, reconciling payment references and repeatedly explaining training times can consume the hours meant for that work.
The difficulty is often how information is organised. There are several membership lists, applications arrive through several channels, and a committee change takes knowledge away. A shared workflow and clear responsibility usually matter as much as AI.
We review existing tools before building anything. A larger sports club and a small cultural association may need very different solutions. Each proposed project must justify setup, checking and running costs.
Five places to look for useful improvements
Membership management
Current records, checked imports and access that survives committee handovers.

Calculate fees by rules, review uncertain payments and prepare collection exports.

-
Usable between other commitments
We test common tasks with occasional users. Clear feedback and a short introduction help new volunteers take over.
-
Plan for committee changes
Personal accounts follow responsibilities. New officeholders get the right roles and outgoing access is removed.
-
Handle member information deliberately
Before implementation, we agree the storage location, access roles, retention and permitted provider use. This includes checking the contractual terms on using your data for model training. Hosting alone does not settle every data protection requirement.
-
Start with a worthwhile scope
We include checking and maintenance in the cost-benefit assessment. A better template or an existing product can be enough.
Choose an appropriate starting point
You need a reasoned decision before spending.
Review the work, costs and data to establish whether AI is worth pursuing.
The committee wants practical experience.
Try anonymised association tasks and develop shared rules for responsible use.
Several spreadsheets no longer fit the job.
Explore a shared application or an integration that fills a demonstrated gap.
You need help coordinating delivery.
Agree advice, development, training and an optional support arrangement through a named contact.
From an example to an agreed first step
-
01
Review today’s workflow
We look at anonymised lists, forms and inbox examples with the people doing the work.
-
02
Choose a useful improvement
We compare repetition, data quality, review effort and cost before selecting the first scope.
-
03
Build and introduce it
We check imports and exceptions with you, introduce users and agree who handles operation and support.
Budget, funding and related organisations
Funding depends on your location, organisation and project. We can help assess a specific programme and prepare a project description and cost outline. The funder decides eligibility and approval.
Do not assume funding in the project budget before conditions are verified. Foundations and cooperatives also have different workflows; their pages describe those separately.
What does a first step cost?
A clearly limited implementation can start from EUR 2,000 excluding VAT. Scope, data work and connections determine the quote.
The first call is free. An AI audit costs EUR 500 excluding VAT and is credited in full against subsequent consulting or implementation. If we identify no economically worthwhile AI use case, the audit fee is waived; only previously agreed expenses remain payable.
Questions about AI for associations
What can AI do in day-to-day administration?
It can prepare fields from forms, suggest uncertain payment matches and draft answers from approved documents. Rules handle amounts and capacity; responsible people confirm consequential changes.
How large must the association be?
Membership count alone says little. The useful measure is recurring work and the benefit remaining after review and running costs. A small association may be better served by a template or existing product.
Do you advise or also build?
Both. We offer consulting and workshops and can implement an agreed scope. Ongoing operation is optional and separately agreed.
Do volunteers need technical knowledge?
No. We design common tasks around the people using them and provide an agreed introduction. Someone in the association still needs responsibility for data and approvals.
What happens to members’ data?
Before implementation, we agree the storage location, access roles, retention and permitted provider use. This includes checking the contractual terms on using your data for model training. Hosting alone does not settle every data protection requirement.
What are the costs and timescale?
The first call is free. An AI audit costs EUR 500 excluding VAT and is credited in full against subsequent consulting or implementation. If we identify no economically worthwhile AI use case, the audit fee is waived; only previously agreed expenses remain payable. An implementation price and schedule follow review of the actual scope.
What takes time away from your association?
Describe one recurring task. We can discuss a first step without asking you to choose a whole new system.
