AI for your dental practice: more time for patients, less work at the front desk. We work out with you where AI takes work off your practice team, train dental assistants and practice managers and put it into practice, connected to your practice management system.

Recall replies, rescheduling, lab invoices, questions about what patients pay themselves: admin takes up a lot of time at reception, often just when patients are standing at the desk. AI Værk works with your practice from the first call to a solution in daily use. Patient data stays under your control, on a server in your practice if you prefer.

Where AI saves your dental practice time

Book recall replies

A patient answers the recall text with two times that suit her. The software finds her in your practice management system, looks for matching free slots and puts the suggestion ready for your team.

Match lab invoices

The software matches invoices and delivery notes from the dental lab to the right patient and job. If an amount differs from the cost estimate, it flags it for billing.

Answer questions about costs

When a patient emails to ask what he will pay himself for a crown, the software drafts the answer from his treatment and cost plan. Your team checks it and sends it.

Illustrative use case

A recall reply, ready as an appointment

  1. 01

    The reply comes in

One evening, a patient answers the reminder for his six-monthly check-up by text: Tuesday after 3 pm or Thursday from 2 pm.

  2. 02

    The software books it in

On the server in your practice, it finds the patient in your practice management system, checks the free slots for a check-up and cleaning and creates a suggested appointment.

  3. 03

    Your team confirms

In the morning, the dental assistant confirms the suggestion with one click. The patient gets a short message with the day and time.

Patient data stays where you decide.

As a dentist, you are bound by professional confidentiality. So you decide where the software runs, and we set it up exactly that way.

  • Confidentiality in the contract: we and everyone involved commit in writing to professional secrecy. This meets the requirements of Section 203 of the German Criminal Code (StGB).
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data is never used to train AI models.
  • Every access is logged. You see who opened what, and when.

  • On a server in your practice

The AI runs on your own hardware, on your premises. The data stays inside your practice.

    Private AI
  • On a dedicated server in Germany

A server reserved for your practice alone, in an ISO 27001 certified data centre in Germany.

  • With a cloud AI in the EU

An AI service with data centres in the EU and a data processing agreement. Often the quickest start for tasks that involve no patient data.

Connected to your practice management system

You work with DAMPSOFT DS-WIN, CGM Z1, charly, ivoris or another system. Appointments, tasks and documents land where your team already works. DAMPSOFT DS-WIN CGM Z1 charly Your software

Where your practice management system offers an interface, we create appointments, tasks and documents directly in it. Otherwise your team moves them across from a work list with one click. We work out which route suits your practice in the initial call.

AI features your software already has, such as AIVA for voice documentation in DS-WIN or the CGM TelefonAssistent phone assistant, you keep using as before. Our software takes on the work that is still left at reception afterwards.

Working safely with AI: training for dental assistants and practice managers

Your team practises on a recall reply as it arrives in the evening: what does the software prepare, what does the AI see of it, and what does your team decide itself? Use the switch to see how patient data stays protected.

Reply to the recall text
What the AI sees:

“Good evening, for the check-up Tuesday after 3 pm or Thursday from 2 pm would suit me. This is Person 3107Jonas Becker, born on Date 49 May 1979. Since the weekend, a tooth on the lower left has hurt when I chew. Perhaps you could look at it during the check-up.”

  1. Your server inserts placeholders
  2. Sent encrypted
  3. Cloud AI processes it
  4. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server works with the full message

Nothing leaves your practice.

  1. Take over the preferred times

Compare both time windows in the reply with the suggested appointment before the confirmation goes to the patient.

  2. Protect patient data

Recognise which details the AI only sees as placeholders, then match the patient safely in the practice management system.

  3. Treat the pain as a concern of its own

Toothache does not wait for a check-up in two weeks. The dental assistant calls back the same day and offers an earlier appointment.

Questions before getting started

Can we use AI with patient data?

Yes. Since 2017, Section 203 of the German Criminal Code (StGB) has allowed dentists, like all professionals bound by secrecy, to share confidential information with service providers, as far as their work requires it and provided they are bound to confidentiality. That is exactly what we set out in the contract, together with the data processing agreement. If the software and the AI model run on a server in your practice, the data stays on your premises from start to finish.

Does it work with our practice management system?

Yes. Where DAMPSOFT DS-WIN, CGM Z1, charly or ivoris offer an interface, we create appointments, tasks and documents directly in it. Otherwise your team moves them across from a work list with one click. We check which route suits your practice in the AI audit, ideally together with your system support.

What does getting started cost?

The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.

Does the AI decide who is invited for recall?

Your practice sets recall intervals and treatment. The software takes on what comes after: reading replies, suggesting appointments and sending a friendly follow-up when a patient has not answered.

Who works with us on implementation?

You work directly with us, the founders. Justus leads consulting, design and training; Elias is responsible for development, integration and operation. We are happy to work with your in-house IT or your system support.

What holds up your reception between two patients?

In the free initial call, tell us what keeps your practice team busy every day. We will show you where AI helps, what it costs and how it works with your practice management system.
