AI for property developers: more time for projects and buyers, less back-and-forth by email and Excel. We build AI for project management, customer care and site management.
Change requests by email just before first fix, payment requests to every buyer in a building once the shell is complete, defect lists from the formal acceptance of the common property, a revised Baubeschreibung (building specification) that no longer matches the sales brochure: all of this runs alongside the build and falls to a few people in project management and customer care.

AI Værk is your 360° partner for AI in mid-sized companies.
Together we pin down where AI can take work off your hands, and then we implement it.
We know the day-to-day work in property development: Bauträgerverträge (developer contracts covering plot and build) with instalments under the MaBV, change requests with cut-off dates for each trade, and cost control for each project company. We also know what holds things up everywhere: re-keying data from one system into another, or waiting for the one person who knows the answer.
You can start wherever you are: with an early idea, a workflow that takes too long, or a finished plan for us to implement.

Custom development
We build custom software where off-the-shelf products fall short, for example a tool that checks every new version of the building specification or the Teilungserklärung (the declaration dividing the building into flats and common property) against the sales brochure, price list and website, and marks each discrepancy at the exact passage.

Where AI takes work off your team’s hands
Change requests with cut-off dates
When a buyer sends a change request by email or form, the software opens a case for the flat and works back from the construction programme to the dates by which finishes must be chosen, priced and agreed for each trade. It asks your subcontractors or your main contractor for prices and drafts the quote to the buyer, with extra costs, credits and a validity period. The quote states how your developer contract handles change requests: as a notarised amendment or as a separate contract between the buyer and the firm doing the work. Your site management confirms that the change can be built, and your project manager confirms the price.
MaBV instalments by construction stage
When your site management confirms a stage, such as the completed shell, the software creates payment requests for every buyer in the building, following their payment schedules, backed by the stage confirmation and photos. It includes agreed change requests as your contract provides. If a flat still lacks a condition under § 3(1) MaBV (Germany’s ordinance for developers), such as the notary’s notice that payment is due after a recent sale, it withholds that request and shows what is missing. It logs each buyer’s incoming payments from your accounting and any security provided, for your § 10 records and the annual § 16 audit. Your commercial director approves the requests.
Defects from the acceptance record to the subcontractor
The software logs each defect with its flat and trade, from the Abnahme (formal acceptance) records for each flat and the common property, buyers’ emails with photos or the property manager’s reports. It drafts the notice of defects to the subcontractor, with a deadline, and the reply to the buyer. For each buyer, it records which acceptances are in place, including for late buyers who bought after the common property was accepted. If a subcontractor’s warranty period ends before your own towards the buyer, it flags this in time for you to secure your claim against the subcontractor. Your site management decides whether it is a defect, a change request or wear and tear.
Use case
From a change request by email to acceptance
-
01
The buyer’s email
In a building with 24 flats, the buyer of flat 2.04 writes that she would like a level-access shower instead of the bath, and two extra sockets. First-fix plumbing starts in five weeks. The software opens the change request for flat 2.04, with the floor plan, building specification and record of finishes chosen for the flat.

02
Cut-off dates and quote
Working back from the construction programme, it calculates the date by which the change must be agreed, allowing time for the notary’s draft if the change needs a notarised amendment, so that the plumbers and electricians can replan in time. It asks your plumbing and heating subcontractor and your electrical subcontractor for prices. For the shower, it flags that your site management must check the floor build-up, falls and drainage in the screed. From the replies, it drafts the quote: extra costs for the shower and sockets, a credit for the bath, valid for 14 days.

03
Approval and orders
Site management and your project manager sign off feasibility and price. Once the change has been validly agreed, the software sends the orders to the subcontractors and the revised drawings to the design team. It adds the shower and sockets to the checklist for the acceptance of the flat.
Connected to your software for sales, site and costs
In Propstack, our software reads projects, units, contacts and deals, attaches quotes and records as documents to a unit or contact, and creates notes and tasks. With the API module of onOffice enterprise, it reads properties and addresses, creates activities and tasks and uploads files.
In PlanRadar, from the Pro plan upwards, and in Capmo, it creates defects as tickets with photos and keeps them up to date. In Alasco, it reads contracts and change orders (Nachträge), so that price enquiries and notices of defects go to the right subcontractor, and attaches quotes and orders to the contract or change order. The software reads incoming payments from an export of your accounting software.

You decide where buyer data and development appraisals are kept.
Your buyers’ names, proof of financing and purchase prices are personal data, and your development appraisal is a trade secret. You decide where the software runs, and we set it up that way.
- A data processing agreement under the GDPR, signed before the software sees real data.
- Your buyer and project data is never used to train AI models.
- Every access is logged. You see who opened what, and when.
Working safely with AI: training for project management and customer care
Your team practises on an email like the ones that arrive once the shell is complete: what does the software handle, how much of it does the AI see, and who approves what? The toggle shows how names and financing details stay protected.
“Hello, our bank will only pay the shell instalment once it has confirmation of the construction stage. Could you send us one for loan Loan 33186012 4471 09? We would also like two network sockets in the study. And when is the handover? We need to give notice on our rented flat in time. Kind regards, Person 4182Katrin Meyer, Flat 1.03, Building B”

Send proof of the construction stage
Check whether your site management has confirmed completion of the shell in building B, and send Ms Meyer the confirmation of the construction stage for her bank.
Open the change request
Open the change request for flat 1.03, look up the cut-off date for the electrics in the construction programme and ask the electrical subcontractor for a price for the network sockets.
Give the handover date
Give the expected date for acceptance and handover, referring to the completion date in the contract and to when you will confirm the exact handover date. Your project manager approves the reply before the email goes to Ms Meyer.
Questions before getting started
We also develop commercial property and sell whole projects to investors. Does this work for us?
Yes. Defects from acceptance, subcontractors’ documents and the handover still go through your team, and the software does the same work there. It also handles the investor’s due diligence questions: it drafts the answers from your data room, citing the source for every statement. Your project manager approves them.
Does the software also keep track of subcontractors’ documents?
Yes. It tracks each subcontractor’s exemption certificates (Freistellungsbescheinigungen), guarantees and proof of insurance with their expiry dates and requests new ones in good time. If a valid exemption certificate is missing before a payment, it alerts your accounts team, who then deduct 15 per cent construction withholding tax (Bauabzugsteuer) and pay it to the tax office, unless an exception applies. If you keep the exemption certificates in Alasco, the software reads and stores them there.
Does the software also help with the handover to buyers and the property manager?
Yes. It puts together the handover pack for each flat and for the common property: drawings, the documents under § 650n of the German Civil Code (BGB) that buyers need for the authorities and their lender, maintenance contracts and, for each buyer, the acceptance dates for the flat and the common property. If the property manager uses casavi and grants access for this, the software files the documents there.
Propstack and Alasco have their own AI. What do you add?
PropstackAI writes brochure copy and emails; Alasco captures invoices and contracts and checks invoices against the contract. We don’t duplicate that. Our software handles the work between sales, site and office: the change request from the first email to acceptance, the payment request for each construction stage, the defect from the acceptance record to the notice sent to the subcontractor.
What does getting started cost?
The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.
How long does a change request sit with you before the buyer has a quote?
In the free initial call, tell us how change requests work at your firm, who requests the instalments and how a defect reaches the subcontractor. We will show you where AI saves time, what that costs and how it connects to your software.
