Give every application a clear, traceable status

Forms follow your funding programmes. Required fields and validation rules can identify missing entries or attachments. Whether a budget is credible or a proposal fits the foundation’s purpose still needs professional judgment. Applicants should be able to see that distinction.

Each application has an owner, a status and a record of submitted versions. Follow-up questions stay with the case. We agree which version is being reviewed and how updates after a deadline are handled.

What the workflow could look like

    Submit and acknowledge

    Applicants describe their proposal and upload the agreed documents. A receipt confirms what was submitted. It does not imply that funding has been awarded.

    Review and request clarification

    Staff check the required material and can use an AI-generated draft summary. Missing or conflicting information is flagged for review rather than silently filled in.

  3. 03

    Prepare the review meeting

    Checked information becomes a meeting brief with links to the originals. The responsible reviewers approve it. Decisions and reasons are then recorded against the application.

What we establish before building

We test typical applications, large attachments, interrupted sessions and revised documents. Clear labels, keyboard access and understandable error messages belong in the form. Applicants who get stuck also need a route to a person.

Before development we agree links to grant management, access for external reviewers and retention of declined applications. A first portal does not need to replace your entire grant management system.

Agree the scope and cost first

The first call is free. A focused AI audit costs EUR 500 excluding VAT and provides recommendations, concrete project ideas and guidance on safe use. We credit the full fee towards subsequent consulting or implementation. If we find no economically worthwhile AI use case, the audit fee is waived; only expenses agreed in advance remain payable.

Does AI decide who receives a grant?

No. It can structure material and prepare drafts. Assessment, decisions and approval stay with the responsible people and governing bodies.

Can we support several funding programmes?

Yes, within the agreed scope, with different questions, documents and deadlines. We identify which fields can be shared and which must vary by programme.

Will every submitted application be complete?

The portal can check defined formal requirements. Your team still needs to assess whether the documents contain enough information and are suitable for review.
