Process cost calculator
What does this manual task cost each year?
Fifteen minutes feels small. A hundred times a month, it adds up. Calculate the time and staff cost tied up in a recurring process.
12 months
The work behind the task.
Enter all four values. The calculation runs in your browser.
- Working hours per year
- Current annual staff cost
- Estimated recoverable hours per year
- Annual gross value of that capacity
Recoverable capacity is not guaranteed payroll savings or net ROI. Setup, licence, operating and training costs have not been deducted.
See how the numbers work.
Annual hours = cases per month × 12 × minutes per case ÷ 60. Staff cost = annual hours × hourly cost.
Recoverable hours = annual hours × assumed share of time ÷ 100. Their gross value = recoverable hours × hourly cost.
Turn an estimate into a useful test.
Measure typical cases before and during a pilot. Include quality checks, corrections and exceptions. Count only time you can actually use: scattered spare minutes do not automatically become a free working day.
For an investment decision, compare realistically usable value with one-off and recurring additional costs over the same period. Money is saved only when spending falls or the capacity creates value elsewhere.
Put the process on paper.
Note the task, data sources, person responsible and a measurable target. That gives you a basis for checking whether an existing tool is enough and what to test first.
