AI for veterinary practices using easyVET: more time for treatment, less desk work. We build AI software for veterinary practices using easyVET and connect it to your inbox. Consulting, training for your team and ongoing operation are part of it.

More and more owners insure their pets, and every insurer has its own form. Our software finds the owner and the animal in easyVET, enters the diagnosis, treatment dates and invoice and puts the form in front of the vet to sign. Your team sends it off. Owner and treatment data stays under your control, on a server in your practice if you prefer.

Illustrative use case

An insurance form, ready to sign

  1. 01

    The form comes in

An owner emails the claim form from his pet insurer. The practice is asked to enter the diagnosis, treatment and costs for his dog.

  2. 02

    The software fills it in

It finds the owner and the dog in easyVET, enters the diagnosis, both treatment dates and the invoice items under the German fee schedule for vets (GOT) and puts the form in front of the vet.

  3. 03

    The vet signs

She checks the form and signs it. The team sends it to the owner with the invoice, and a copy is filed with the animal in easyVET.

What the software takes over in your practice

Prefill insurance forms

The software fills in the forms owners send by email or bring in on paper, using the treatment and invoice in easyVET. The vet signs.

Match callback requests to the right animal

Messages from the answerphone and the inbox become a task on the right animal, even when the dog and the cat in a household share a name.

Prepare reports for referring practices

When your clinic treats a referred animal, the software drafts a report for its regular vet from your notes. The vet adds to it and approves it.

Owner and treatment data stays where you decide.

Section 203 of the German Criminal Code (StGB) names vets explicitly, and the GDPR protects owners’ names and addresses. You decide where our software runs, and we set it up exactly that way.

  • Confidentiality in the contract: we and everyone involved commit in writing to professional secrecy. This meets the requirements of Section 203 of the German Criminal Code (StGB).
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data is never used to train AI models.
  • Every access is logged. You see who opened what, and when.

  • On a server in your practice

The AI runs on your own hardware, on your premises. The data stays inside your practice.

    Private AI
  • On a dedicated server in Germany

A server reserved for your practice alone, in an ISO 27001 certified data centre in Germany.

  • With a cloud AI in the EU

An AI service with data centres in the EU and a data processing agreement. Often the quickest start for tasks that involve no owner data.

Connected to easyVET

You work with easyVET or another system. Forms come from the treatments and invoices you already keep in easyVET. Your software

According to VetZ, easyVET offers connections to numerous external labs, the reminder manager with the petsXL app, digital patient admission and an insurance manager for AGILA and Smart Paws. Your team keeps using these functions. Our software takes over the forms and messages that someone still fills in and sorts by hand today.

Product names mentioned are trademarks of their respective owners. Mentioning them implies no partnership with the vendors and no endorsement by them.

Working safely with AI: training for forms and messages

Your team practises on an email as owners send it: what does the software fill in, what does the AI see of it, and what does the vet decide herself? Use the switch to see how owner data stays protected.

Email from an owner
What the AI sees:

“Hello, please find attached my insurer’s form for Bello’s treatment on 2 and 6 October. This is Person 8130Markus Lehmann from Address 5Lindenstraße 12. Since yesterday Bello has been limping on his right hind leg again.”

  1. Your server inserts placeholders
  2. Sent encrypted
  3. Cloud AI processes it
  4. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server works with the full message

Nothing leaves your practice.

  1. Enter the right treatment dates

Carry over both appointments and the matching invoice items from easyVET and check them against the form.

  2. Protect owner data

Recognise which details the AI only sees as placeholders, then match the owner safely in easyVET.

  3. Pass on the limp

Bello limping again is a concern of its own, separate from the form. The veterinary nurse calls back and offers a check-up appointment.

Questions about AI with easyVET

Can the software read data from easyVET and file forms there?

Where your easyVET installation offers an interface, the software reads the details it needs there and creates forms and tasks directly on the animal. Otherwise your team moves them across from a work list with one click. We check which route suits you in the AI audit, ideally together with your system support.

Can we use AI with owner and treatment data?

Yes. Section 203 of the German Criminal Code (StGB) names vets explicitly, and since 2017 it has allowed you to share confidential information with service providers, as far as their work requires it and provided they are bound to confidentiality. Owners’ names, addresses and phone numbers are also covered by the GDPR. We set out both in the contract, together with the data processing agreement. If the software and the AI model run on a server in your practice, the data stays on your premises from start to finish.

We already use the insurance manager. Do we still need this?

Keep using the insurance manager for the insurers it covers. Our software takes care of the forms from every other insurer that owners send by email or bring in on paper.

What does AI cost for a practice using easyVET?

The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.
