AI for your business with Craftnote: less paperwork between site and office. We build AI software for trades businesses using Craftnote.

The daywork sheet template is in Craftnote, the photos are in file storage and the hours are in time tracking. Someone still has to fill in the sheet, usually in the evening in the van or back at the office. Our software writes it from dictation, photos and booked hours and saves it straight to Craftnote through the API. It also creates tasks and new projects there.

What the software takes over

Enquiries become projects

When an enquiry arrives by email or contact form, the software creates the project in Craftnote: address, customer, phone number and the customer’s photos in the file storage. If anything is missing for the site visit, it is added to the project as a task for the office.

Daywork sheets from dictation and photos

When the tradesperson uses phone dictation to type into the project chat what they did and what they fitted, the software writes the daywork sheet: work, materials, booked hours and the photos from file storage. The sheet is saved as a PDF in a folder that only supervisors and the owner can see until your site manager approves it.

Extra work flagged from the chat

If the fitter writes in the chat “stopcock in the cellar won’t shut off, needs replacing too”, the software creates a task for the site manager to clear it with the customer before the team carries on. That way it is not missed, even if nobody in the office is watching the chat. The site manager decides what gets charged.

Use case

From extra work to the daywork sheet

  1. 01

    On the roof

While fitting a roof window, the roofer finds that the rafter next to it is rotten. He photographs it, saves the photo to file storage and dictates into the project chat: “Rafter next to the window rotten, needs sistering, about an hour and a half, plus a four-metre length of timber.”

  2. 02

    Approval first

The software immediately creates the task “Sister rafter”, with a note for your site manager to get the customer’s go-ahead first. He calls, the customer agrees, and he records that in the task. The roofer sisters the rafter and books his time to that task.

  3. 03

    The sheet the next morning

The software writes the daywork sheet with the booked time, the materials and the photos. Your site manager checks it the next morning and approves it, the customer signs it, and the hours go into the final invoice.

Connected to Craftnote

You work with Craftnote or another system. Projects, reports and tasks live in Craftnote, where your team already works. Your software

Craftnote comes with project chat, file storage, time tracking, a planning board and its own report forms. Our software does the typing: enquiries by email and contact form become projects, dictation and photos become daywork sheets, messages in the project chat become tasks. Through the Craftnote REST API it creates projects and tasks, uploads reports to the file storage and reads booked hours.

Your team practises on a message from the project chat

In the training, office and site staff work with messages as they appear in the project chat. The toggle shows what a cloud AI receives.

Message in the project chat
What the AI sees:

“Rafter next to the window was rotten, sistered it, took an extra 1.5 hrs. Person 2280Mrs Petersen now wants another window in the bathroom. We need the scaffold until Wednesday, let Company 7015Hansen Scaffolding know.”

  1. Your server inserts placeholders
  2. The cloud AI processes it
  3. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. The message arrives
  2. The AI on your server processes all of it

The AI processing stays in your business.

  1. Check the daywork hours

Compare the hour and a half in the message with the time booked in Craftnote, and make sure the customer’s go-ahead is recorded in the project.

  2. Log the second window

Add the customer’s request as a task for the office. The quote for the bathroom window comes from your trade software or from Craftnote.

  3. Extend the scaffold hire

Ask the scaffolder to extend the hire until Wednesday. Whether the crew stays until then is for the site manager to plan on the planning board.

Questions about Craftnote

Craftnote already has its own daywork forms. Why do we need your software?

Craftnote fills in the customer and address itself; your team types the work, materials and hours. Our software writes those parts from what the tradesperson dictates and photographs, with the hours from Craftnote. Your team only checks the sheet.

Does the software also read photos and voice messages from the project chat?

No. The Craftnote API only returns text from the chat. If your team uses phone dictation, the text comes through. The software reads photos from the project’s file storage, where the app saves them straight from the camera.

How does the software talk to Craftnote?

Through the Craftnote REST API. The owner of your business creates the API key in the settings, so tasks and files from the software appear under the owner’s name; we mark them as automated. Craftnote notifies the software of new projects, files and messages straight away by webhook. Webhooks come with the Office package.

What does it cost?

The initial call is free. The AI audit costs €500 and is fully credited towards implementation with AI Værk. Setup, hosting and support are listed separately in the proposal.

Who builds it?

You work directly with us, the two founders, from the first question to day-to-day operation. We are happy to work alongside your IT provider.

How many hours a week does your office spend writing up reports?

Bring a project from Craftnote. In the free initial call we will use it to show you which steps the software takes over and what that costs.
