The request comes in
A patient forwards a message from his private health insurer: for reimbursement, it still needs the invoice for six sessions and a copy of the doctor’s prescription.

Appointment requests outside online booking
Anyone who asks for an appointment by email or phone gets a suggestion from your free slots. Your team confirms, and appointmed sends the reminder as usual.
Follow up outstanding invoices
If an invoice is still outstanding after three weeks, the software drafts a friendly reminder with the invoice attached. Your team approves it.
Patient data stays where you decide.
Invoices and prescriptions name the diagnosis and the treatment. You decide where our software runs, and we set it up exactly that way.

Connected to appointmed
According to the vendor, appointmed offers online appointment booking, reminders by email and text message, an online patient record and invoices at the push of a button. It is aimed at practices with self-paying patients and exports invoices for billing services in PAD or CSV format. Your team keeps using these functions. Our software takes over the messages that arrive outside online booking and the documents insurers ask for.

How is the software connected to appointmed?
On its website, appointmed names no open interface. So we use the routes that exist: syncing to a Google Calendar for free slots, exports and your inbox. Your team moves appointments and documents across from a work list with one click. We check what suits you in the AI audit.
Can we use AI with patient data?
Yes. Section 203 of the German Criminal Code (StGB) also applies to physiotherapists and occupational therapists, and since 2017 it has allowed you to share confidential information with service providers, as far as their work requires it and provided they are bound to confidentiality. That is exactly what we set out in the contract, together with the data processing agreement. If the software and the AI model run on a server in your practice, the data stays on your premises from start to finish.
Does this also work for Beihilfe and supplementary insurance?
Yes. We store the documents each body needs as a template. The software puts together the right set for every request, and your team checks it and sends it.
What does AI cost for a practice using appointmed?
The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.
