AI for your therapy practice: more time for treatment, less admin. We work out with you where AI takes work off your practice team, train reception and therapists and put it into practice, connected to your practice software.

Paper prescriptions, cancellations by phone, therapy reports for the referring doctor: alongside treatment there is a lot of admin, and therapists often handle it between two patients. AI Værk works with your physiotherapy or occupational therapy practice from the first call to a solution in daily use. Patient data stays under your control, on a server in your practice if you prefer.

Illustrative use case

A prescription, entered and checked before the first session

  1. 01

    The prescription comes in

A patient brings a prescription for six physiotherapy sessions to his first appointment. Reception takes a photo of it at the desk.

  2. 02

The software reads and checks it

It reads the referring practice, diagnosis, treatment and number of sessions, creates the prescription for the patient in your practice software and checks it against the required fields. Here the main symptoms are missing.

  3. 03

    Reception sorts it out first

Reception sees the flag straight away and asks the doctor’s practice for a correction before treatment starts. The prescription then goes into billing complete.

Where AI saves your therapy practice time

Enter and check prescriptions

A photo or scan of the prescription becomes an entry in your practice software. Your team sees missing or contradictory details before treatment starts.

Fill cancelled slots quickly

When a patient cancels by phone or email in the morning, the software writes to patients who would like to come earlier. Whoever accepts first gets the slot.

Prepare therapy reports

At the end of a prescription, the software drafts a report for the referring doctor from your treatment notes. The therapist adds her assessment and approves it.

Patient data stays where you decide.

As a physiotherapist or occupational therapist, you are bound by confidentiality just like a doctor. So you decide where the software runs, and we set it up exactly that way.

  • Confidentiality in the contract: we and everyone involved commit in writing to professional secrecy. This meets the requirements of Section 203 of the German Criminal Code (StGB).
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data is never used to train AI models.
  • Every access is logged. You see who opened what, and when.

  • On a server in your practice

The AI runs on your own hardware, on your premises. The data stays inside your practice.

    Private AI
  • On a dedicated server in Germany

A server reserved for your practice alone, in an ISO 27001 certified data centre in Germany.

  • With a cloud AI in the EU

An AI service with data centres in the EU and a data processing agreement. Often the quickest start for tasks that involve no patient data.

Connected to your practice software

You work with THEORG, appointmed or another system. Prescriptions, appointments and reports land where your team already works. THEORG appointmed Your software

Where your practice software offers an interface, we create prescriptions, appointments and documents directly in it. Otherwise your team moves them across from a work list with one click. We work out which route suits your practice in the initial call.

If you use THEORG, you keep using its machine prescription capture. Our software takes care of the steps after it: checking the prescription, asking the doctor’s practice for corrections and the report at the end of treatment.

Working safely with AI: training for reception and therapists

Your team practises on a cancellation as it sits in the inbox in the morning: what does the software prepare, what does the AI see of it, and what does your team decide itself? Use the switch to see how patient data stays protected.

Email to the practice
What the AI sees:

“Good morning, unfortunately I have to cancel my appointment today at 10 am. This is Person 5530Petra Wolff, born on Date 92 March 1965. Since the exercise on Monday, my knee has been badly swollen. I will be in touch about a new appointment.”

  1. Your server inserts placeholders
  2. Sent encrypted
  3. Cloud AI processes it
  4. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server works with the full message

Nothing leaves your practice.

  1. Release the right appointment

Check that the cancellation is about the 10 am appointment before the software offers it to patients on the waiting list.

  2. Protect patient data

Recognise which details the AI only sees as placeholders, then match the patient safely in the practice software.

  3. Pass on the swelling

The swollen knee is a concern of its own. The therapist calls back and decides whether the patient should see her doctor.

Questions before getting started

Can we use AI with patient data?

Yes. Section 203 of the German Criminal Code (StGB) also applies to physiotherapists and occupational therapists, and since 2017 it has allowed you to share confidential information with service providers, as far as their work requires it and provided they are bound to confidentiality. That is exactly what we set out in the contract, together with the data processing agreement. If the software and the AI model run on a server in your practice, the data stays on your premises from start to finish.

Does it work with our practice software?

Yes. Where THEORG, appointmed or your practice software offers an interface, we create prescriptions, appointments and documents directly in it. Otherwise your team moves them across from a work list with one click. We check which route suits your practice in the AI audit.

What does getting started cost?

The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.

Is it worthwhile for a small practice?

Often especially there, because therapists also handle the phone and prescriptions between two sessions. In the AI audit we work with your figures. If it is not worth it, we tell you plainly.

Who works with us on implementation?

You work directly with us, the founders. Justus leads consulting, design and training; Elias is responsible for development, integration and operation. We are happy to work with your IT team or IT service provider.

What takes your practice the most time besides treatment?

In the free initial call, tell us what holds your team up between sessions. We will show you where AI helps, what it costs and how it works with your practice software.
