Every gift needs a reliable match

We establish records for people, organisations and households. Potential duplicates are reviewed before merging, preserving the history of payments and contact. Similar names alone are not enough to establish a match.

AI can interpret payment references and suggest candidates. Amounts and transactions come from verified sources. Communication preferences are recorded explicitly, including requests not to be contacted or publicly named.

Import payments with checks
An agreed export or tested integration provides transaction records. Previously imported entries are recognised and possible donor matches are proposed. Uncertain matches stay open.

Prepare correspondence
Approved templates become draft thank-you letters or acknowledgements. Names, amounts and purpose come from checked fields. Staff review the content before sending.

Maintain the relationship
A shared view shows earlier gifts, communication preferences and correspondence already sent. The responsible person can prepare the next contact without comparing several lists.

What we establish before building

Endowment gifts and other donations may follow different accounting and documentation processes. We use your professionally approved categories and templates. AI does not decide tax treatment or which certificate may be issued.

Migration tests include reversed payments, changed addresses and people with the same name. Permissions must prevent a general internal assistant from exposing confidential donor information.

Agree the scope and cost first

The first call is free. A focused AI audit costs EUR 500 excluding VAT and provides recommendations, concrete project ideas and guidance on safe use. We credit the full fee towards subsequent consulting or implementation. If we find no economically worthwhile AI use case, the audit fee is waived; only expenses agreed in advance remain payable.

Can we import existing lists?

We examine exports, field structure and data quality. Your team tests the match between contacts and transactions. Ambiguous cases are resolved before records are merged.

Can the system produce donation receipts?

It can fill approved templates with confirmed information. Eligibility, required content and approval remain with the responsible specialists and the rules applicable to your organisation.

Does this need AI at all?

Fixed matching rules and mail merge often suffice. AI may help with variable free text or documents that are difficult to search. We assess the extra value before development.
