AI for trade businesses using TAIFUN: less office work, more time for jobs. We build AI software for trade businesses and connect it to TAIFUN Handwerk and TAIFUN openBusiness.

When the maintenance season comes round, our software writes to every customer whose maintenance contract is due, reads the replies and enters the confirmed visits as appointments. After the job, it turns the engineer’s voice note into the report on the job. Your office checks it and sends the invoice.

What the software takes over

Announce maintenance

The software picks out the systems due for service from your maintenance contracts and writes to each customer with two suggested dates.

Enter replies as appointments

“Tuesday’s fine, but only from ten.” The software reads the reply, enters the appointment and adds any special requests to the job as a note.

Reports from voice notes

After the service, the engineer dictates what he replaced. The software writes the report on the job, with materials from your parts catalogue.

Illustrative use case

From due maintenance to a booked visit

  1. 01

    Find the due contracts

In September, 140 gas boilers and heat pumps are due. The software sorts the list by area, so each engineer covers one district in a single run.

  2. 02

    Write to customers

Every customer gets an email or a letter with two dates when the engineer is in their street. The software reads the replies, including the ones that just say “fine”.

  3. 03

    Enter the appointments

Confirmed visits appear in the schedule as maintenance jobs. Customers still without a reply after a week go on your office’s call-back list.

Connected to TAIFUN

You work with TAIFUN Handwerk, TAIFUN openBusiness or another system. Appointments and reports land where your office plans and invoices. Your software

TAIFUN already includes maintenance contracts, an app for your engineers and wholesaler links via DATANORM and IDS, the formats German wholesalers use for price lists and orders. Our software takes over the writing in between: letters, replies, reports. Where your TAIFUN offers an import route, we create appointments and reports straight in it; otherwise your office moves them across from a work list with one click.

Product names mentioned are trademarks of their respective owners. Mentioning them implies no partnership with the vendors and no endorsement by them.

Your team practises on real customer replies

In the training, your office works with replies as they arrive in the maintenance season. Use the switch to see what a cloud AI gets to see.

Reply from a customer
What the AI sees:

“Hello, Tuesday’s fine, but only from ten. The key is with the neighbours at number 9. By the way, the boiler has been dripping for a few days. Regards, Person 6142Jürgen Peters, Address 2087Lindenallee 11, Rendsburg”

  1. Your server inserts placeholders
  2. Cloud AI does the work
  3. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server handles it in full

Nothing leaves your business.

  1. Enter the appointment

Enter the confirmed Tuesday, from ten o’clock, as a maintenance job.

  2. Note the access

Add the note about the key to the job, so the engineer knows where to find it on the day.

  3. Pass on the fault

Pass the dripping boiler to your service team. They decide whether the part comes along on the visit.

Questions about TAIFUN

What does TAIFUN already do itself?

TAIFUN manages maintenance contracts, includes an app for your engineers and connects to wholesalers via DATANORM and IDS. For the phone, TAIFUN lists an AI office assistant that books appointments into the TAIFUN calendar. You keep using all of it; our software writes the letters, reads the replies and produces the reports.

Does this apply to TAIFUN Handwerk and openBusiness?

Yes. In the initial call we look at which modules you use and which import route suits you. The proposal then sets out what lands directly in TAIFUN.

What does it cost?

The initial call is free. The AI audit costs €500 and is credited in full when you implement with AI Værk. Small solutions start at around €2,000. Hosting and support are listed separately in the proposal.

Who does the work?

You work directly with us, the founders. Justus leads consulting and training; Elias is responsible for development, integration and operation. We are happy to work alongside your IT provider.

How many maintenance customers does your office chase by phone every autumn?

Tell us in a free initial call how maintenance and service calls run in your business. We show you what the software takes over and what it costs.
