AI for notarial offices on LawX: less manual work in completion, more time for the parties. We build AI software for notarial offices and lawyer-notary practices and connect it to LawX.

After signing come release documents, escrow instructions and approvals. Each letter holds amounts, accounts and deadlines that decide when the price falls due. Our software reads them out, ticks off the conditions in the case and fills your template for the notice of payment due. The notary checks and signs.

What the software takes over

Capture escrow conditions

From the bank’s letter the software reads the redemption amount, the account and the validity period and adds them to the case as a condition.

Track the due date

Priority notice, pre-emption waiver, approvals, release documents: with each letter the software ticks off one item and reports as soon as everything is in.

Answer status enquiries

“When can we pay?” The software drafts the answer from the current state of the case in your mailbox. Your team checks and sends it.

Illustrative use case

From a release consent to the notice of payment due

  1. 01

    The bank writes

The seller’s bank sends the release consent with an escrow instruction: to be used only against payment of €182,400 to its account, valid until 30 November.

  2. 02

    The software ticks off

It files the letter in the case, records amount, account and deadline as a condition and checks the other requirements. The priority notice and the pre-emption waiver are already in.

  3. 03

    The notary signs off

Your Word template produces the notice: €182,400 to the bank, the balance to the seller. The notary checks and signs, and the notice goes out the same day.

The parties’ data stays where you decide.

As a notary you are bound to secrecy under § 18 BNotO, the German Federal Notaries Act. So you decide where the software runs, and we set it up exactly that way.

  • We and everyone involved commit to secrecy in text form, as § 26a BNotO requires.
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data never trains AI models, and every access is logged.

The AI runs on your own hardware, on your premises.

Connected to LawX

You work with LawX, XNP, NotarNow or another system. Conditions and deadlines sit in the right case. XNP NotarNow Your software

LawX already files emails to the case and builds drafts in Word, and you keep using those AI features. Our software takes care of what is written in the letters: amounts, accounts, deadlines and conditions. Where LawX offers an interface, we add conditions and reminders straight to the case. Otherwise your team moves them across from a work list with one click. Which route suits you, we settle in the initial call.

Your team practises on real bank post

In the training your team works with letters as they arrive after signing. Use the switch to see what a cloud AI gets to see.

Letter from the seller’s bank
What the AI sees:

“Dear Notary, please find enclosed the release consent for the loan of Person 7302Jonas Richter, to be used only against payment of €182,400 to our account. This escrow instruction is valid until 30 November. Please confirm that the seller has agreed to the redemption. Yours faithfully, Loans Department”

  1. Your server inserts placeholders
  2. Cloud AI does the work
  3. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Letter arrives
  2. The AI on your server handles it in full

Nothing leaves your office.

  1. Record the condition

Check amount and account as a condition in the case, even when the AI only sees the borrower as a placeholder.

  2. Note the validity

Set 30 November as a reminder, so the notice of payment due goes out in time.

  3. Pass the question to the notary

Spot the bank’s question about the seller’s consent and put it to the notary.

Questions about LawX

Doesn’t LawX already work with AI?

It does. LawX files emails, reads land register extracts and builds drafts, and you keep using all of that. Our software builds on it: it reads what bank post and approvals actually say and carries the case through to the due date.

Does this suit a lawyer-notary practice?

Yes. LawX runs the law firm and the notarial office in one system. Our software works with the notarial cases and leaves your client files as they are.

What does it cost?

The initial call is free. The AI audit costs €500 and is credited in full when you go ahead with AI Værk. Small solutions start at around €2,000. Hosting and support are listed separately in the proposal.

Who builds it?

You work directly with us, the founders. Justus handles consulting and training, Elias is responsible for development, integration and operation. Happy to work alongside your IT provider.
