beN messages in the right case, with the deadline set. We build AI software for notarial offices and connect it to XNP and your notarial software.

Entry notices from the commercial register, and from land registries that work electronically, arrive in the beN, the special electronic mailbox for German notaries. Interim objections come through the beN or by letter, depending on the land registry. Our software reads both, matches each message to the right case and sets up the next task with its deadline. You sign and file in XNP as you always have.

What the software takes over

File beN messages

The software recognises the deed number, land register folio or register number, files the message in the right case and ticks off the step.

Deal with interim objections

When the land registry asks for a missing document, through the beN or by letter, the software enters the deadline and drafts the request to the bank or the party. Your team sends it.

See where every case stands

One list shows for each case which applications are filed, which are registered and which are still open. Your team answers status enquiries at a glance.

Illustrative use case

From an interim objection to a complete application

  1. 01

    The message arrives

The land registry works electronically and writes via the beN about deleting an old land charge: the bank’s release consent is missing, deadline four weeks.

  2. 02

    The software prepares

It matches the message to the case by folio and deed number, enters the deadline and drafts the request to the bank with the bank’s reference from the case.

  3. 03

    The team follows up

Your team sends the request. When the release consent arrives, it lands straight in the case, and the notary files it with the land registry through XNP.

The parties’ data stays where you decide.

As a notary you are bound to secrecy under § 18 BNotO, the German Federal Notaries Act. So you decide where the software runs, and we set it up exactly that way.

  • We and everyone involved commit to secrecy in text form, as § 26a BNotO requires.
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data never trains AI models, and every access is logged.

  • On a server in your office

The AI runs on your own hardware, on your premises.

    Private AI
  • On a dedicated server in Germany

Reserved for your office, in an ISO 27001 certified data centre.

  • With a cloud AI in the EU

With a data processing agreement. Your server swaps names for placeholders first.

Connected to XNP and your notarial software

You work with XNP, NOTARIUS, LawX, NotarNow or another system. Messages and tasks sit in the right case. NOTARIUS LawX NotarNow Your software

XNP is the Federal Chamber of Notaries’ base application with the beN, the deed register and XNotar, and it stays exactly as it is. Where your notarial software takes over messages from XNP or offers an import route, we put the filing and the task straight into the case. Otherwise your team moves them across from a work list with one click. Which route suits your office, we settle in the initial call.

Your team practises on real completion post

In the training your team works with messages as they arrive after signing. Use the switch to see what a cloud AI gets to see.

Message from the land registry
What the AI sees:

“Land register of Lindenau, folio 2417, owner Person 3307Hanna Weber. Regarding your application of 2 October: the creditor’s release consent for the land charge in section III no. 2 is missing. A period of four weeks is set to remedy this.”

  1. Your server inserts placeholders
  2. Cloud AI does the work
  3. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server handles it in full

Nothing leaves your office.

  1. Find the case

Match the folio and the owner to the right case, even when the AI only sees the name as a placeholder.

  2. Request the document

Check that the request to the bank names the right land charge.

  3. Enter the deadline

Check the deadline in the calendar and set a reminder one week before.

Questions about XNP

Does the software access XNP directly?

XNP remains the Federal Chamber of Notaries’ application, and signing and filing continue to happen there. Our software works with the messages and documents your notarial software takes over from XNP.

May notaries use AI for this?

Yes. § 26a BNotO allows you to bring in service providers who commit to secrecy in text form. We set that out in the contract. If the software runs on a server in your office, the data stays on your premises from start to finish.

What does it cost?

The initial call is free. The AI audit costs €500 and is credited in full when you go ahead with AI Værk. Small solutions start at around €2,000. Hosting and support are listed separately in the proposal.

Who builds it?

You work directly with us, the founders. Justus handles consulting and training, Elias is responsible for development, integration and operation. Happy to work alongside your IT provider.
