Client emails and letters sit in the right RA-MICRO case file, with a suggested deadline. We build AI software for law firms using RA-MICRO and connect it to your inbox, scanner, electronic case files and DictaNet. Consulting, training for your team and ongoing operation are part of it.

RA-MICRO fetches beA messages by itself. Client emails, scanned letters and attachments sent later are often still sorted by hand. Our software recognises case numbers, parties and client, files every document in the right electronic case file and suggests the deadline. Client data stays under your control, on a server in your firm if you prefer.

Illustrative use case

A letter from the court, ready for the deadline diary

  1. 01

    The post comes in

A notice from the local court arrives by post and is scanned. The court sets three weeks for a response.

  2. 02

    The software files it

It reads the court’s case number, finds the matching file in RA-MICRO, stores the scan in the e-file and suggests the deadline from the date of service.

  3. 03

    The lawyer decides

She checks the suggestion, the office enters the deadline, and a short update to the client is ready for her signature.

What the software takes over in your firm

Post and emails to the file

Client emails, letters and attachments land in the right e-file. The software recognises case numbers, parties and sender.

Suggest deadlines

From the date of service and the period set, it produces a suggestion with its reasoning. Your team enters the deadline.

Updates for clients

When the other side files a brief, a short update to the client is ready, built from your own text modules.

With DictaNet: from dictation to a brief in the case file

If your lawyers dictate with DictaNet, the result is a finished brief in the RA-MICRO case file.

Through DictaNet’s RA-MICRO interface, a dictation already opens as a document with the letterhead and recipient from the file. Our software takes over the steps after that: it places the recognised text in your template for briefs, fills in court, case number and parties from the file, finds the exhibits mentioned in the electronic case file and drafts the list of exhibits as K1, K2, K3.

The next morning the draft and its exhibits sit in the file. The lawyer reads it through, changes what they want to change and releases it for sending via beA.

Client data stays where you decide.

Every document in your inbox belongs to a client matter. You decide where our software runs, and we set it up exactly that way.

  • Confidentiality in the contract: we and everyone involved commit in writing to professional secrecy, as required by § 43e BRAO and Section 203 of the German Criminal Code (StGB).
  • A data processing agreement under the GDPR, signed before the software sees real data.
  • Your data is never used to train AI models.
  • Every access is logged. You see who opened what, and when.

  • On a server in your firm

The AI runs on your own hardware, on your premises. The data stays inside your firm.

    Private AI
  • On a dedicated server in Germany

A server reserved for your firm alone, in an ISO 27001 certified data centre in Germany.

  • With a cloud AI in the EU

An AI service with data centres in the EU and a data processing agreement. Often the quickest start for tasks that involve no client data.

Connected to RA-MICRO and DictaNet

You work with RA-MICRO, DictaNet or another system. Every document sits in the file your team works in. Your software

RA-MICRO fetches beA messages automatically, offers text modules and templates, an interface to Outlook and Word and, in E-Akte 2, AI functions to summarise, analyse and draft text. You keep using these functions. Our software makes sure every document is in the right file first.

Working safely with AI: training for incoming post

Your team practises on an email as it reaches the office: what does the software file, what does the AI see of it, and which question belongs in legal advice? Use the switch to see how client data stays protected.

Email from a client
What the AI sees:

“Dear Mr Kaya, please find attached the letter from Company 204Wohnbau Süd about my service charge statement. It reached me on 9 October. Do I have to pay the balance now? Kind regards, Person 3012Lena Albers”

  1. Your server inserts placeholders
  2. Sent encrypted
  3. Cloud AI processes it
  4. Your server puts the names back

Only your server knows which placeholder belongs to which person.

  1. Message arrives
  2. The AI on your server works with the full message

Nothing leaves your firm.

  1. Find the file

Identify the right file from client and opposing party, even though the AI only sees both as placeholders.

  2. Check the date of receipt

Compare the date given with the letter itself before it becomes a deadline suggestion.

  3. Pass the legal question to the lawyer

Recognise the question about the balance and put it to Mr Kaya. He answers it when he advises the client.

Questions about AI with RA-MICRO

Can the software write directly to the RA-MICRO e-file?

Where your RA-MICRO setup offers an interface, we create documents and deadline suggestions directly in the file. Otherwise your team moves them across from a work list. We check which route suits you, cloud or your own server, in the AI audit.

RA-MICRO already has AI. Why would we need you?

The e-file AI summarises, analyses and drafts text within a single file. Our software works before and alongside it: it brings emails and letters into the right file and prepares deadlines and client updates. The two complement each other.

We dictate with DictaNet. Do we need new speech recognition?

Your DictaNet speech recognition stays. Our software starts from the recognised text and turns it into a finished brief in the RA-MICRO case file, with case data and a list of exhibits.

Can we use AI with client data?

Yes. § 43e BRAO allows you to bring in service providers, provided they are bound to confidentiality. That is exactly what we set out in the contract, together with the data processing agreement. If the software runs on a server in your firm, the data stays on your premises from start to finish.

What does AI cost for a firm using RA-MICRO?

The initial call is free. If the task is already clear, we move straight to a proposal. If a closer assessment is needed, the AI audit costs €500, fully credited towards implementation with AI Værk. Small solutions start at around €2,000. If we find no useful AI application, the audit fee is waived; previously agreed expenses remain payable. Our proposal lists setup, licences, hosting and support separately.
