Practise on the work your volunteers do. AI workshop for clubs and associations: practical skills and safe use.
A secretary drafts minutes, a youth coordinator prepares an invitation and the treasurer wonders whether a membership list can be uploaded. A shared workshop helps volunteers practise useful tasks and agree what information belongs in which tools.
Bring separate experiments into one conversation
Different volunteers may already use AI without knowing what others do. That creates inconsistent practices around member information and reviewing generated text.
We practise with anonymised or invented examples, inspect deliberately incorrect answers and develop rules for sources, approvals and member data. The committee can then adopt the rules for the association.
Beginners and regular AI users can take part together. Familiar tasks make it easier to ask useful questions than an abstract tour of tools.
What happens in the workshop
Rules that people can use afterwards
-
Choose permitted tools
Confidential lists are not copied into unreviewed personal AI accounts. The committee identifies the permitted environment.
-
Limit sensitive examples
Training uses anonymised or invented information. Children’s information, health details and photographs need deliberate handling outside general exercises.
-
Review before sending
A person checks content, facts and recipients before anything reaches members, the press or a federation.
-
Make responsibility clear
The committee identifies who approves tools and who helps volunteers when they are unsure.
Prepare the session around your participants
-
01
A short preparation call
Tell us who is joining, their experience and the tasks that take time. We choose suitable exercises.
-
02
Meet in person or online
Format, duration, group size and required access are agreed in the proposal. Timing should work for people volunteering alongside other commitments.
-
03
Take away rules and next steps
You receive the working rules and a short list of possible projects. Your committee decides what to adopt and investigate.
What can follow the workshop
You may leave with better templates and enough confidence to use existing tools. If a registration or membership workflow needs deeper work, consulting can establish scope before any development.
A workshop is not a commitment to an implementation project. Broader training formats are available for other teams as well.

Workshop questions
Who is the workshop for?
Committee members, coaches, volunteers and staff who handle administration or member communication. No prior AI experience is needed.
Can we bring real member information?
Exercises use anonymised or invented examples. Before real data is used later, purpose, approved tools, access and provider terms need to be settled.
When and where does it take place?
We agree an in-person or remote format and a date that suits your group. Travel and any associated expenses are agreed beforehand.
What does the workshop cost?
The preparation conversation is free. Duration, participants, exercises and delivery format determine the proposal. If you need a separate audit first, its scope and EUR 500 excluding VAT terms are on the pricing page.
What should your team be able to do afterwards?
Tell us who will attend, their experience and typical tasks. The free preparation call helps agree a learning objective and format.
